Use or edit an email template

Reuse a saved message from the Templates tab in Email Merge. Holiday greetings sit in the same list. You need staff access to Email Merge and a building selected.

Use a template

  1. Open Email Merge.
  2. Select the building in the building filter.
  3. Click the Templates tab.
  4. Find the row. Type in Search name, subject, creator… if the list is long.
  5. Click the row to open Preview.Template preview with Use template and Schedule — Preview dialog showing the message and buttons Edit template, Use template, and Schedule
  6. Click Use template.
  7. Add recipients under To, adjust Subject or the message if needed, then click Send or Schedule.

Result: Compose opens with that template filled in.

Create or edit a template

  1. On the Templates tab, click New template. To change one that already exists, open its preview and click Edit template.
  2. Enter Template name and Subject.
  3. Choose Visibility (My templates, Building, PMC, or All MCC). PMC may require admin access.
  4. Write the message. Merge tokens such as [[RESIDENT_NAME]] are supported.
  5. Click Create template for a new template, or Save changes when you are editing your own.

Result: The template is in the list. Click the row to preview it again.

Tip: A saved template is a ready-written message. It is different from the letterhead, which is the branded frame around any message. See Use the default letterhead on an email merge.

Tip: Delete template on a preview you created removes that copy. Mailings already sent stay as they are. An MCC greeting is not deleted this way. See Send a holiday greeting.
